Vega Minds

Vega Minds sells Vega, an AI associate for financial advisers at RIAs in the United States and Canada. It connects to an adviser's email, calendar, meeting software, phone system and CRM. Vega drafts a reply to every client email inside Outlook or Gmail and briefs the adviser before meetings. It takes notes from Zoom, Teams, Google Meet and phone calls through the platforms' own recordings rather than a visible bot, and drafts the follow up. Notes, tasks and field updates are proposed for the CRM and written after the adviser approves them, with a Pro setting that lets Vega save clear profile facts directly. A chat answers questions about any client, reads uploaded statements and turns requests into tasks.

Core costs $50 a month and Pro $100 a month. Pro adds branded planning documents, a daily updated profile of each household, meeting analytics, and a review of meeting transcripts and outbound email against SEC rules. A Premium partnership with a dedicated engineer and custom agents starts at $4,000 a month. Vega connects to Redtail, Wealthbox, Salesforce, Microsoft Dynamics, Practifi and other advice firm systems, and to Claude through an MCP connector. Vega Minds says it serves more than 600 RIA firms, and the Kitces Report on agentic AI assistants for 2025 named it a provider to watch. The company is based in Newport Beach, California, and was started in 2022 by two MIT trained former registered advisers, including chief executive Alex Mathé-Cathala.

AI Capability
AI Centrality
AA on AI CentralityThe artificial intelligence is the product. Remove the models and there is nothing left to sell.
Vendor Published

Each part of Vega is model work. Specialized agents answer questions about any client from email, CRM, meeting and document data, and draft a reply to every client email in the adviser's voice. They write meeting notes and follow ups, propose CRM updates, keep a daily living story for each household, and read uploaded statements and plan documents line by line.

Planning documents such as Roth conversion and RMD analyses are drafted by the model, while brackets, phase outs and thresholds run through purpose built calculations against IRS figures. Pro adds AI review of transcripts and outbound email against SEC rules, and file generation returns PowerPoint, PDF, Word and Excel files from chat. Strip the models and Vega has no notes, drafts, answers or reviews left, only the connections it uses to gather data.

Autonomy and Oversight Model
AA on Autonomy and Oversight ModelWhat the system runs alone, what constrains it, and how a person checks it are all published: modes, thresholds, sampling or audit controls, and the route a case takes to human review.
Vendor Published

Vega puts an approval step on each path that reaches outside the product, with one setting a firm controls. Email drafts wait in the thread and nothing sends without the adviser. CRM notes, tasks and field updates are proposed and written only after one click of approval, and the actions page states that no record changes before the adviser sees exactly what it says. Profile enrichment on Pro is the exception a firm configures.

When the evidence in a meeting is direct and specific, Vega saves the fact to the contact or household itself, and anything ambiguous, second hand or conflicting comes back as a suggestion. The Claude connector can read Vega data but cannot change or send anything, sees only what the user can see, and stays off until a firm admin turns it on. On compliance flags, an adviser can read a flag on their own meeting but cannot close it, so triage stays with firm admins and every status change records who made it and when.

Model Risk Management and Transparency
CC on Model Risk Management and TransparencyTransparency is claimed in general terms with no mechanism a model validator could interrogate.
Vendor Published

Notes, drafts, answers and compliance reviews carry no published accuracy figure or validation method. The terms acknowledge that results vary with the quality and completeness of the data provided and guarantee no outcome. Several design choices help a firm check output. Tax figures come from purpose built calculations against IRS figures, with the model writing only the explanation, and figures from uploaded statements come back as they appear on the page.

Planning documents keep figures consistent across charts and tables. Compliance review reads the full transcript rather than the summary, which Vega says helps it tell a joke from actual advice, and each coaching point links to the moment in the transcript behind it. Vega says its chat is faster and more accurate than Claude for everyday client work, without a measure.

Operational and Outcome Evidence
BB on Operational and Outcome EvidenceVendor aggregate claims with real figures, or audited scale disclosures from a publicly listed company.
Vendor Published

Vega Minds reports that the Kitces Report for 2025 placed it first across every metric tracked in its agentic AI assistants category and named it a provider to watch. In the T3/Inside Information 2026 Software Survey it had an 8.50 rating in proposal generation and appeared as a write in among notetakers. The company says more than 600 RIA firms use Vega and that it drafts more than 3,000 emails for advisers every day. Jeff Gove is quoted on shaping notes to the firm's process, and Bob Wolfe on refining notes and follow ups with the Magic Wand instruction tool. No firm is paired with a measured result.

AI Safety and Data Stewardship
BB on AI Safety and Data StewardshipA categorical stewardship commitment is published without the retention schedule or the engineering detail behind it.
Vendor Published

Firm data stays out of training on both sides, by Vega's account. The security page says isolated model deployments keep data from being shared with other customers or used to train AI models. The privacy policy adds that the foundation models are stateless, that user data is not used to train third party models, and that only essential information reaches the model providers, with sensitive data encrypted first.

It also recommends dedicated fields for sensitive information inside the product. Client data is kept for the length of the firm's contract under the data processing agreement. The model providers and their retention terms are not named on the website.

Regulatory and Compliance
GLBA and Data Privacy Posture
BB on GLBA and Data Privacy PostureA substantive privacy document that reaches the product itself, short of the subprocessor list or the full data handling detail.
Vendor Published

The privacy policy, effective 3 June 2026, treats firms' client data as processor tier data kept for the length of each firm's contract under section 9 of Vega's data processing agreement. Retention windows are set by category, such as billing records for the contract plus five to seven years and marketing data until opt out or three years of inactivity.

The policy honors the Global Privacy Control signal, gives CCPA and GDPR rights with a five business day response target, and says Vega does not sell or share data beyond the policy. Sensitive data is encrypted before it goes to model providers. The data processing agreement and retention policy are available on request rather than published, and GLBA and Regulation S-P are not mentioned.

Security Certifications and Trust Center
AA on Security Certifications and Trust CenterCertifications named with their type and presented as retrievable artifacts, usually through a trust portal a buyer can open without asking.
Vendor Published

A SOC 2 Type II attestation is stated on Vega's pricing and security pages, which describe independently audited controls for data protection, availability and confidentiality. Vega Minds says its Trust Center at trust.vegaminds.com holds its full security posture, compliance documents and subprocessor resources, and a status page is public. All data is encrypted at rest and in transit. GDPR and CCPA compliance are stated, and the privacy policy commits to answering data requests within five business days. The auditor is not named on the website.

Regulatory Status and Licensure
CC on Regulatory Status and LicensureThe regulatory position is unstated. Most vendors in this index are technology suppliers and being unlicensed is the correct posture, so this grade records silence about the posture, not a missing license.
Vendor Published

Vega Minds is a software company with no license of its own, though its founders were registered advisers. Its compliance features serve the firm's own duties. Pro reviews meeting transcripts and every outbound email against SEC communication rules and ranks each item from none to critical. High risk items trigger an email to the compliance admin explaining the flag and a recommended next step.

Every review is tracked as open, addressed or dismissed, and a dashboard breaks flags down by adviser and severity. The privacy policy states that Vega makes no solely automated decisions with legal or similar effects on individuals. No regulator or examination involving Vega Minds is named.

AI Governance and Bias Disclosure
CC on AI Governance and Bias DisclosureResponsible artificial intelligence committed to in policy language with no evaluation behind it, on a product whose bias surface is modest.
Vendor Published

Meeting analytics on Pro gives every meeting a score from 0 to 100 against the firm's own coaching criteria, measuring participation, open questions, restatements, unexplained jargon, emotional cues and action item clarity. Practice wide signals rank opportunities and service risks across advisers and clients, and how those signals are weighted is not described.

The privacy policy states that Vega does not decide financial, credit, insurance or similar outcomes for individuals and makes no solely automated decisions with legal effects. No AI governance framework, named owner or fairness testing is published, and nothing addresses how transcription and drafting perform across accents or client groups.

AI Liability and Recourse
CC on AI Liability and RecourseMechanisms that enable challenge, such as audit trails and source traceability, with nothing standing behind the output and no route for the person affected.
Vendor Published

Under the terms of service, effective 12 February 2024, the user carries the risk. Vega Minds makes no warranty about the accuracy, reliability or suitability of the service, reliance is at the user's own risk, and liability is limited to the extent the law allows. The user indemnifies Vega Minds, with nothing in return. Disputes go to AAA arbitration in Los Angeles under California law, and other rules may apply to clients outside the US. The approval steps and the compliance review trail give a firm a record of what it approved and who closed each flag, and no remedy covers an approved output that proves wrong.

Integration and Deployment
Model Supply Chain Disclosure
CC on Model Supply Chain DisclosureThe architecture is described and no provider is named.
Vendor Published

Vega describes its models only as enterprise LLMs from leading cloud providers and names no provider, model family or version on the website or in the privacy policy. Vega Minds points to its Trust Center for subprocessor resources. The Claude connector is a separate path, letting advisers read Vega data from inside Claude rather than running Vega on Claude, and ChatGPT support is described as coming.

Core Systems and Integration Depth
AA on Core Systems and Integration DepthNamed integrations with the systems of record, core banking, policy administration, custodial or contact center platforms, verifiable in marketplace listings or public API documentation.
Vendor Published

The integration page says what each connection carries. Redtail syncs contacts, notes and tasks, Wealthbox adds activities, and Salesforce, HubSpot and Microsoft Dynamics sync contacts, accounts or deals and activities, alongside Practifi, Quivr, Salentica and XLR8. CRM updates land in specific fields on the right records rather than in a notes field, with personal details on the contact and shared priorities and the balance sheet on the household.

Voyant plan data feeds meeting prep, Investipal proposals get personalized commentary, Hubly takes workflows and tasks, and calls come in from RingCentral, Zoom Phone and CurrentClient. Documents connect from Google Drive and SharePoint. Outlook runs a Vega plugin from the Microsoft marketplace and Gmail a Chrome extension. A Claude MCP connector, off by default and read only, lets advisers use Vega data inside Claude.

Deployment Model and Data Residency
BB on Deployment Model and Data ResidencyStated residency commitments or regional hosting options.
Vendor Published

Data is transferred and processed within the United States, according to the privacy policy, and models run as isolated deployments so one firm's data is not shared with another. The cloud provider and region are not named on the website. Vega runs on the web and on iOS and Android, where push to talk works for debriefs between meetings. Outlook runs Vega as a plugin on desktop and web, and Gmail runs it through a Chrome extension. No private or on premises deployment is offered.

Commercial
Commercial Transparency
AA on Commercial TransparencyPublished per unit rates a buyer can price against before any conversation.
Vendor Published

Core costs $50 a month or $500 a year and covers chat, the notetaker, meeting prep, email drafts and the Outlook and Gmail extensions. Pro costs $100 a month or $1,000 a year and adds branded deliverables, meeting analytics, practice wide opportunity and risk signals, living stories, compliance review and file generation. Annual billing gives two months free, and both plans carry a 14 day free trial.

The Premium partnership, adding a dedicated engineer, custom agents and integrations, starts at $4,000 a month and scales with firm size, with larger engagements reaching six figures a year. Subscriptions are billed in advance and not refunded except where the law requires.

Institution and Segment Coverage
BB on Institution and Segment CoverageNamed segments with dedicated material behind part of the coverage.
Vendor Published

RIAs in the United States and Canada are the market, and Vega Minds says more than 600 RIA firms use it. Plans cover the individual adviser on Core and Pro, and larger firms through a Premium partnership priced by firm size that can reach six figures a year. Tasks from meetings can be routed to the adviser, an associate or an operations team. Its founders worked as registered advisers at Lifeworks Advisors before building Vega. Broker dealers, banks and insurers are not addressed as separate markets, and no firm is named beyond quoted advisers Jeff Gove and Bob Wolfe.
