Pulse360

Pulse360 is meeting documentation software for independent financial advisers, built around what an adviser sends a client after a meeting. Advisers capture a meeting with CaptureGenius, an AI notetaker for Zoom, Teams, Google Meet and in person meetings, or by dictating, typing or handwriting notes in the app. NoteGenius AI files notes by topic, subtopic and tag and turns them into CRM tasks, and AI Writer tightens or simplifies client language. Templates, a content library and an annual summary then produce agendas, summaries and year in review documents meant to read as the adviser's own work.

Pulse360 connects to Redtail, Wealthbox and Salesforce, including the Salentica, XLR8 and Practifi overlays, and to Nitrogen, Holistiplan, Hubly and PreciseFP. Prices are flat rather than per seat: the notetaker plan is $99 a month, and Pro with the notetaker is $199 a month for up to ten users. It runs on AWS, publishes a SOC 2 Type II report for download, and offers optional long term storage of recordings for SEC and FINRA books and records. Its terms let AI Writer prompts train per user and industry wide models once identifying details are removed, unless a customer opts out. Pulse360, Inc. was founded in 2019 by Anand Sheth, who spent more than 20 years in the advisory industry, and James Hill, and works from Riverside, California and Farnham in the UK.

AI Capability
AI Centrality
CC on AI CentralityArtificial intelligence is present but peripheral: a feature layer on a product whose value stands without it.
Vendor Published

Pulse360 is built around documentation: topic, subtopic and tag filing, templates, a reusable content library with merge fields, a handwriting pad, a built in whiteboard and the deliverables an adviser sends after a meeting. AI sits on three parts of it. CaptureGenius records and transcribes meetings, NoteGenius AI organizes notes and creates CRM tasks, and AI Writer shortens, expands or simplifies client language.

Plans without the notetaker are sold at $49 and $135 a month, and the template and filing system works in them. An annual summary that gathers a year of meetings, 58 in Pulse360's demonstration, assembles in under 20 seconds from notes already filed. Strip the models and an adviser still has an organized note system and a deliverables builder, without automatic capture.

Autonomy and Oversight Model
BB on Autonomy and Oversight ModelA written commitment that the models work alongside human judgment, with real review surfaces, short of the full control structure: commonly the threshold at which the system stops or what happens after it is wrong.
Vendor Published

Output passes through the adviser before it reaches a client. Summaries and agendas are assembled in the template builder and sent by the adviser, and Pulse360 pitches documents that read as the adviser's own rather than as AI text. Bulk tools prepare more than 100 agendas or summaries in one click and attach disclosures and checklists automatically.

NoteGenius AI puts CRM updates and client emails a click away, while the notetaker plan describes tasks and workflows syncing to the CRM without lifting a finger. No approval rule, confidence threshold or administrator control over what syncs automatically is published.

Model Risk Management and Transparency
CC on Model Risk Management and TransparencyTransparency is claimed in general terms with no mechanism a model validator could interrogate.
Vendor Published

CaptureGenius transcription, NoteGenius organization and AI Writer carry no published accuracy figure or test. The NoteGenius page promises notes that save time and ensure accuracy, without a measure. Advisers can keep the recording through Legal Storage, which leaves a source to check a note against, and they edit summaries in the template builder before sending. Notes can be found by tag or keyword, handwritten ones included. The terms disclaim any warranty on the accuracy or usefulness of information in the service.

Operational and Outcome Evidence
BB on Operational and Outcome EvidenceVendor aggregate claims with real figures, or audited scale disclosures from a publicly listed company.

Named advisers are quoted with their firms on the pricing page. Chris Rondinelli, CFP, of Seven Fields Wealth Management says a meeting summary written in Pulse360 won him a prospect. Dan Reese of Avery Wealth and Mo Luke of Revival Wealth describe a more organized, systematic practice. A client of Michael Marino, CFP, at The Financial Planning Center calls his recap emails a home run.

Pulse360's own figures put client review preparation at 10 minutes instead of 50 and a follow up email at five. In the T3/Inside Information 2026 Software Survey, Pulse360 had 0.65 percent notetaker market share with a 7.58 user rating, and 1.10 percent in client communication tools at 7.09. Riskalyze, now Nitrogen, integrated it in 2021. No case study pairs a named customer with a measured result.

AI Safety and Data Stewardship
BB on AI Safety and Data StewardshipA categorical stewardship commitment is published without the retention schedule or the engineering detail behind it.
Vendor Published

Recordings and AI Writer prompts are handled under different terms. For CaptureGenius, the security page says transcription providers keep data no longer than 24 hours and do not train on it, and Pulse360 does not train on recordings. For AI Writer, the terms send prompts to large language models. Pulse360 then stores them to train a per user Advisor AI model and a wider Advice AI model built from data stripped of identifying details. Opting out is by email and ends access to those AI features. A per user model is deleted within 72 hours of cancellation, and Legal Storage deletes recordings once retention duties expire.

Regulatory and Compliance
GLBA and Data Privacy Posture
CC on GLBA and Data Privacy PostureA standard privacy policy that covers the website rather than the service, or silence on a product that touches limited consumer data.
Vendor Published

The privacy policy dates from April 2020 and covers website visitors, not the data advisers put into the application. Application data is covered on the security page instead: the adviser owns it, can have a full export prepared on leaving, and recordings are stored on AWS. The policy says personal information may be stored and processed in the US and elsewhere in the world.

No reference to GLBA or Regulation S-P, no breach notice deadline and no statement on client consent to recording is published. Website visitors can opt out of marketing communications under the policy.

Security Certifications and Trust Center
AA on Security Certifications and Trust CenterCertifications named with their type and presented as retrievable artifacts, usually through a trust portal a buyer can open without asking.
Vendor Published

A SOC 2 Type II report can be downloaded from Pulse360's security page by anyone who agrees to keep it confidential. The page, updated 19 February 2025, describes AES-256 encryption at rest through AWS KMS and TLS 1.2 in transit. Networks run in isolated VPCs, IAM controls access with multifactor authentication for all users, and CloudTrail logs activity. S3 cross region replication supports recovery.

The page also sets out a breach notification procedure run by an incident response coordinator, with what customers are told depending on whether data loss is contained or confirmed. The auditor and report period are not named on the page.

Regulatory Status and Licensure
CC on Regulatory Status and LicensureThe regulatory position is unstated. Most vendors in this index are technology suppliers and being unlicensed is the correct posture, so this grade records silence about the posture, not a missing license.
Vendor Published

As a software supplier, Pulse360 holds no license and names no regulator overseeing it, and its features are built around advisers' duties. An optional Legal Storage service keeps recordings for as long as SEC, FINRA and state books and records rules require and deletes them automatically afterward. The security page says recordings are stored on AWS in line with SEC and FINRA rules, and whiteboard sessions with an adviser's drawings on charts are saved centrally for compliance.

A page lists approved broker dealers, with a form for advisers at other firms. The terms state that Pulse360 is not a law firm and that its service does not determine whether an adviser's policies comply with securities rules.

AI Governance and Bias Disclosure
CC on AI Governance and Bias DisclosureResponsible artificial intelligence committed to in policy language with no evaluation behind it, on a product whose bias surface is modest.
Vendor Published

The terms describe a per user Advisor AI model trained on each adviser's data to make personalized recommendations. They also describe a wider Advice AI model, trained on data stripped of identifying details from across users and meant to benefit the wealth management industry. What those models recommend, how they are tested and who oversees them is not described. No AI governance framework, named owner, release testing or fairness evaluation is published, and nothing addresses how CaptureGenius handles different accents or audio conditions.

AI Liability and Recourse
CC on AI Liability and RecourseMechanisms that enable challenge, such as audit trails and source traceability, with nothing standing behind the output and no route for the person affected.
Vendor Published

Under the terms of service, updated 1 May 2023, the customer carries the loss. The service is provided as is, and Pulse360 disclaims liability for damages of any kind arising from its use. Its total liability to any party is capped at $100, except for gross negligence or willful misconduct. The customer indemnifies Pulse360, with no indemnity in return.

Disputes go first to informal resolution by email and then to arbitration under California law, with costs and fees to the prevailing party. The 90 day money back guarantee refunds a dissatisfied customer, and no remedy covers a wrong output.

Integration and Deployment
Model Supply Chain Disclosure
CC on Model Supply Chain DisclosureThe architecture is described and no provider is named.
Vendor Published

Pulse360 names no model or transcription supplier. The terms say AI Writer prompts go to large language models such as OpenAI and/or other reputable LLMs, an example rather than a list, and the security page refers only to third party transcription providers. Hosting, encryption keys and access control run on AWS services that the security page names one by one. No subprocessor list, model version or change notice is published. Pulse360 states that the large language models do not store client data.

Core Systems and Integration Depth
BB on Core Systems and Integration DepthNamed systems or a documented public API, with the depth or the production evidence left open.
Vendor Published

Pulse360 connects to Redtail, Wealthbox and Salesforce, including the Salentica, XLR8 and Practifi overlays, plus Nitrogen (formerly Riskalyze), Holistiplan, Hubly and PreciseFP. A task template set up once creates follow up tasks in Redtail, Wealthbox or Salesforce whenever an adviser emails a client. NoteGenius AI creates tasks in all three CRMs and launches workflows in Redtail and Wealthbox only.

Pulse360 describes these as integrations that carry functionality rather than copy data, without documenting fields or direction. The notetaker connects to Zoom, Microsoft Teams and Google Meet. No API or developer documentation is published.

Deployment Model and Data Residency
BB on Deployment Model and Data ResidencyStated residency commitments or regional hosting options.
Vendor Published

The application runs on AWS. Networks are isolated in VPCs, and depending on the plan each practice's data sits in its own database or its own tables, with no commingling. Backups follow a set data life cycle and replicate across AWS regions through S3. Pulse360 runs in the browser, supports handwriting on an iPad, and captures meetings from Zoom, Microsoft Teams and Google Meet or in person. The primary region is not named, and the privacy policy allows processing outside the US. No private or on premises deployment is offered.

Commercial
Commercial Transparency
AA on Commercial TransparencyPublished per unit rates a buyer can price against before any conversation.

Pulse360 charges one flat monthly price per practice rather than per seat. The notetaker plan costs $99 a month for one adviser and one virtual staff member, with 20 recording hours, extra users at $29 each and extra recording at $49 per ten hours. Pro costs $199 a month with the notetaker and $135 without, for up to ten users, with unlimited AI summaries and recording, the deliverables builder and the content library. A Starter plan without the notetaker is $49 a month.

Trials run 14 days on the notetaker and Starter plans and 30 days on Pro, and the press page offers a 90 day money back guarantee. Subscriptions renew monthly, and one to one onboarding comes with every trial.

Independent advisers and small practices are the market. Pricing is a flat monthly fee for practices of up to ten users, with a notetaker plan sized for one adviser and one virtual staff member. Named users are small RIAs and planning firms, among them Avery Wealth, Seven Fields Wealth Management, Revival Wealth and The Financial Planning Center. A page lists the broker dealers whose advisers Pulse360 serves, with a form for advisers at other broker dealers. Banks, insurers and large enterprises are not addressed, and the team works from Riverside, California and Farnham in the UK.

Most editorial comparisons pair two vendors the index assesses as direct competitors for the same buyer. Some pair vendors that are adjacent rather than rival, where the useful question is where one ends and the other begins. Each carries a verdict, the buyer conditions that favor each vendor, and a graded side by side.
